From work order to printed matter
Have you been commissioned to produce a leaflet/flyer/brochure, an annual report, a poster or an invitation for your office or department? An exciting and extensive task! No matter what it is, the colleagues in the Public Relations department at the main office will support you!
Quick guide
Flyers, posters, brochures etc.:
The final content for your print product is provided by the relevant department. The Public Relations Department at Mainz City Hall provides support (proofreading, illustrations, processing). Please always send print orders to: printredaktionstadt.mainzde
When writing text, please note:
Less is often more!
Avoid repetition.
Use several sentences instead of nested sentences.
Keep your target audience in mind when writing.
Be sure to follow the typography guidelines (PDF below).
Use the dual control principle: have your text checked by colleagues for comprehensibility and errors.
Don't forget the imprint: Imprint State Capital Mainz P.O. Box 3820 | 55028 Mainz Office | Department Stadthaus Große Bleiche Große Bleiche 46/Löwenhofstraße 1 55116 Mainz Design: xx Image credits: Indicate copyright Printing: Name of printing company Print run: xxx copies Status: xx/202x
The product must be designed exclusively in accordance with the city's corporate design by the in-house printing office or external graphic design agencies.
The comprehensive internal city image archive is available for image material. It also contains a large selection of images specific to Mainz. Please direct any questions about the internal city image archive to Angela Neumann. In addition, it is possible (to a limited extent) to purchase image material from the Adobe Stock image database for a fee. When using free images, only the pixabay image database may be used, with the restriction that no people may be visible in the images! You are responsible for citing the copyright of the image. This is not checked by the print editorial team. It is also possible to take a suitable photo yourself or to use legally compliant image material from another source (e.g., from partners).
Printing is handled by the in-house print shop: depending on the format and scope, colleagues obtain external quotes or print in-house.
The costs for graphics and printing are usually borne by the relevant departments. The Public Relations Department will purchase images for you.
Reports or documentation:
For extensive reports or documentation, the in-house printing department will design appropriate covers (cover sheets) in the specified color scheme. When creating/designing the content, please follow the guidelines provided here:
The Public Relations Department will create forms for the Internet (including fillable forms) for you in accordance with the defined specifications. Contact: Angela Neumann
For intranet forms, please contact the Press Office. Contact: Franziska Schuster
Important note on the subject of templates
For print products such as flyers or posters, there are generally no templates that you can use to work with or design yourself! Please do not create such templates yourself in Word, PowerPoint, or InDesign without first consulting the Public Relations Department at the main office. This usually results in unsightly deviations from the grid and colors specified in the CD.
Make it easy on yourself and contact the Public Relations Department when creating print media.
Our colleagues have the technical resources and the necessary training to produce your print media professionally and in accordance with corporate design guidelines!
